Abstract Acceptance Policies

All submissions will be done electronically and limited to 350 words. Only 2 tables and 2 images are allowed with your submission. Any additional tables or images will be excluded in the review process.

Abstract selection is at the discretion of the Winter Symposium Planning Committee.

Each first author is limited to three (3) accepted posters. Accepted posters are in addition to the possibility of an oral abstract presentation. 

Each first author is limited to one (1) accepted oral abstract presentation.

Each individual lab is limited to two (2) accepted oral abstract presentations.

ALL content authors are required to disclose any financial relationship(s) with an ACCME-defined ineligible company (“industry”). In accordance with ASTS CME policy, all content authors are required to disclose. According to the Accreditation Council for Continuing Medical Education (ACCME), “An ineligible company is considered any entity producing, marketing, re-selling, or distributing health care goods or services consumed by, or used on, patients.” Click here for full definition and a list of all exceptions. No abstract will be accepted for the CME sessions if any of the content authors are employees or owners of a relevant ineligible company.

All abstracts are blinded for peer review and ranked on the basis of scientific merit. The goal is to perform a scientifically rigorous review process to select those abstracts that present strong, balanced, and evidence-based clinical content, without the perception of bias.

The submission of abstracts related to clinical or basic research, surgical technique, or surgical practice that is new, innovative, or visionary is encouraged. Abstracts that address basic but controversial aspects of surgical management are also encouraged. 

Abstracts will be considered for presentation if they have NOT been previously published as an article at the TIME OF SUBMISSION.

Informed Consent
Any studies involving human subjects must conform to the principles of the Declaration of Helsinki of the World Medical Association (Clinical Research 1966:14:103) and must meet all of the requirements governing informed consent of the country in which the study was performed. Any transplant procedures performed must meet with the prevailing ethical standards.

Notification
All persons who submit abstracts will be notified of their acceptance status by  beginning of November 2024. All abstract presenters must register for and attend the ASTS 25th Annual Winter Symposium. Trainee members of ASTS will receive discounted registration for the Winter Symposium.  You must be a member to receive the discounted registration rate.

Oral & Mini-Oral Abstract Submissions
Select abstracts will be chosen to be presented at the Mini-Oral Abstract Session or Oral Abstract Sessions during the Winter Symposium. Abstracts with a content author who is an employee or owner of an ACCME-defined ineligible company will NOT be considered for an Oral session.

Diversity, Equity, and Inclusion Statement
For 2025, any abstract submission regarding DEI, marginalization, or similar subject should not be solely research showing and/or defining the problem. Any submission must also outline a solution in order to be considered.

What is the submission fee?
There is no fee to submit your abstract. However, in order to receive the discounted registration rate for Winter Symposium, you must be a member of ASTS.

How many abstracts can I submit?
There is no limit on the number of abstracts you can submit.

How are abstracts reviewed and ranked?

I can't make it to the meeting. Can someone else present my poster?
If the submitter can't make it to the meeting, a colleague can present the poster. The poster presenter must be directly involved with the research.

Can I submit a video abstract?
We are not accepting video abstracts.

What's the evaluation criteria?
Abstract evaluations are based on the following:

  • Originality: Is the idea truly different?
  • Methods: How were the methods described? How reliable and valid were the methods used? Were new or untried methods validated and calibrated properly?
  • Analysis: What was done with the date once obtained? Were statistical methods used, if necessary, and were they appropriate?
  • Results: How valid are the results? Are they feasible? How well are they described?
  • Conclusions: Were conclusions drawn? Were the conclusions appropriate to the questions asked? Were the conclusions valid?
  • Writing: Is the style grammatically correct and is the paper presented in a well-organized, clear, and understandable fashion?

When will I be notified?
All persons who submit abstracts will be notified in the beginning of November if their abstract has been accepted for oral or poster. You will also be notified if you abstract is not selected for presentation.

All abstract presenters must register for and attend the ASTS 25th Annual Winter Symposium. Trainee members of ASTS will receive discounted registration for the Winter Symposium. You must be a member to receive the discounted registration rate.

Poster Information

Registration Information
Please remember to register here for the Winter Symposium as soon as possible. In order to receive the member rate, you will need to join as an ASTS member.

Poster Information
Each poster presented received an assigned session to present their poster. That information was listed in your acceptance email. You are invited to attend both poster sessions to present your research, however your poster will only be judged during your assigned session. You must be present at your poster during your assigned session to be considered for a Poster of Distinction Award.

Please note that this year’s poster session will be divided over two evenings:
Poster Session A   Thursday, January 16     5:30 PM –7 PM   
Poster Session B    Friday, January 17      5:30 PM –7 PM   

Poster Board Dimensions: The poster board area is 4 feet high by 4 feet wide.

Pushpins will be available in the poster hall. You will mount your poster on the board with the corresponding poster number. If you have more than one poster you are presenting, efforts have been made to group them together in the hall.

Thursday, January 16     2 – 5 PM *tentative
Friday, January 17         8 – 10 AM *tentative

Viewing Dates & Times:
Thursday, January 16     5:30 PM – 7:00 PM
Friday, January 17         9 AM – 7 PM
Saturday, January 18     8 AM – 12 PM

Poster of Distinction Recognition: Saturday, January 18
All presenters must be present at their poster for their assigned poster session to be eligible. Recognition will occur at the awards presentation.

Poster Dismantle Date & Time: Saturday, January 18
Any poster not taken down by 3:30 pm on Saturday, January 18 will be discarded. ASTS is not responsible for posters left on their boards past 3:30 pm on Saturday.
